About the Conference

1. Why should I attend the conference “Making Data Count: Measuring Diabetes and Obesity in the Indian Health System”?

2. Who should attend this conference?

The conference topics will benefit all new and experienced data users addressing diabetes and obesity in the Indian health system

3. What are the objectives of this conference?

“Making Data Count: Measuring Diabetes in the Indian Health System” conference will provide plenary sessions and concurrent sessions with both clinical and technical applications. The objectives are:

  • to identify the current status of diabetes and obesity data-related issues
  • learn the impact of cost and quality
  • network and share common issues and best practices for capturing, reporting, using and improving data to help improve the lives of American Indian and Alaska Native people
  • review currently available and advanced diabetes and obesity related data systems and analysis tools in IHS, Tribal, and Urban (I/T/U) health care settings
  • explore opportunities for education, training and career development in data management and program analysis in I/T/U systems.

4. How do I register for this conference?

You can register online, or fax in your registration form. To register online follow the link on the “Registration” page; If you prefer to fax in your registration, download the “Registration Form” available in PDF from the “Registration” page.

5. Can I get a discounted registration fee if I register early?

Yes! If you register by September 30, 2007 you only pay $50.00, and you don’t have to submit payment until December 3, 2007.

6. What if I register after September 30, 2007?

The registration fee after September 30, 2007 is $75.00, registration will remain open until December 3, 2007. Payment is due by December 3, 2007.

7. Can I register now and pay later?

Yes! You can pay your registration fees up to December 3, 2007. If you don’t pay by December 3, 2007, you will be charged the on site registration fee of $100.00

8. Can I register on site?

Yes! You can register on site the day of the conference, the on site registration fee is $100.00.

9. Can I pay with a credit card?

Yes! We accept Visa and MasterCard.

10. Can I pay with a personal check?

Yes! If you choose to pay with a check, please make check payable to “The Hill Group”.  Mail the check along with a copy of your registration form, if you registered online mail check along with a print out of your registration confirmation email.

11. Will any meeting materials be available electronically?

Yes! Speaker abstracts and presentation materials will be posted on this website for you to download before and after the conference.

13. Do we get discounted room rate at the Westin La Paloma Resort & Spa if attending this conference?

Yes! If you register by the deadline! (See question 14)
When making your reservation please provide the hotel with the group name “Making Data Count” to receive the discounted rate of $88.00 plus tax for single or double room.

14. When should I make my reservation by in order to receive the discounted room rate at the Westin La Paloma Resort & Spa?

To receive the room rate of $88.00 plus tax your reservation has to be made by Monday, November 26, 2007 at 5:00 pm local time at the hotel.

15. Can I make a reservation now and cancel if I don’t go to the conference?

Yes! Just make sure you cancel your room reservation three days prior to arrival so that you don’t get charged.

16. What if I missed the hotel cut-off date, can I still make a reservation?

Yes. Reservation requests received after 5:00 pm local time at the hotel on the November 26, 2007 will be accepted at the Hotel's prevailing rate, based on availability.

17. Where is the nearest airport?

The Tucson International Airport is located just 30 - 40 minutes and about 18 miles from the Resort.

18. How do I get from the airport to the hotel?

The best way to commute from the airport to the Westin La Paloma Resort & Spa is by taxi or shuttle.

Rates: $38-$45 from the airport to the Westin La Paloma Resort  & Spa depending on time of day and traffic conditions. There is no extra charge for baggage or for additional persons going to the same location.

Shuttle:
Arizona Stagecoach-Shared-ride van service offered after each flight. Service includes transportation to and from hotels, resorts, businesses and residential locations.

21. Is everyone welcome to participate in the Poster Session?

Yes! All meeting participants are welcome to contribute posters for the Poster and Networking Session on Tuesday Evening.

22. I want to participate in the Poster Session, how can I submit a poster?

To participate in the poster session simply download the “Poster Submission Form” from the “Posters” page. Send the completed form via fax or mail to the Hill Group by November 15, 2007.

23. What should be the theme/topic of my poster?

Submissions around the conference theme and topics are encouraged. Share common issues and best practices for capturing, reporting, using and improving data.

24. What if I want to include photographs in my poster?

If you include photos in your poster, get permission for any photos you show or participant stories you share.  Contact us if you need a sample of a Photo/Interview Permission Release Form.

25. How can I become an exhibitor at the conference?

If you are interested in exhibiting at the conference please download the “Exhibitor Application Form” from the “Exhibitors” section on the website. Please mail or fax the completed form to the Hill Group. Upon acceptance of the application, potential exhibitors will be registered to the conference, for which they will receive an automatic confirmation via email.

26. What are the registration fees for exhibitors?

The registration fees are as follows:

27. What’s included in the registration fee?

The above fee includes registration to the conference. Exhibit space includes the use of an assigned booth area, supplied with a 6-foot table and two chairs. If you use your own exhibit, please ensure that it fits within a 7’ x 7 ’ area.

28. What if I need additional exhibiting space?

Should you need additional space, additional tables, or do not need a table, please indicate your requirements on the Exhibitor Application Form. Additional charges may apply depending on the amount of additional space you require.

29. My exhibit requires electrical power, will that be available?

Electrical power is available; you must indicate that in your application. Please note that additional charges from the hotel will apply for electrical hook-ups.

30. What are the criteria for selecting exhibitors?

Exhibitors must describe how their products and services address the conference objectives and are relevant and of interest to the attendees from IHS, Tribal and Urban program (I/T/U). The criteria include:

  • Related  topics of the conference (audit data, cost of diabetes and obesity, evaluation process, RPMS);
  • Address data systems and data management tools that are appropriate for I/T/U programs;
  • Support diabetes educators in their role in obesity and diabetes prevention and treatment.
  • Provide web-based training opportunities and/or educational materials for I/T/U professionals and paraprofessionals.

The final decision for selecting exhibitors will be made by the Conference Organizing Committee for the conference.

31. Are there deadlines for exhibiting?

Yes. All Exhibitor Application Forms must be received by Friday, October 19, 2007. Exhibit space is limited. The Making Data Count Organizing Committee will decide on which exhibitors to accept by Friday, November 2, 2007

32. What’s the small print?

No raffles are allowed. All ‘mementos’ given to participants must be under $20.00 value per person. Audio should be kept to a minimum and should be turned off during the concurrent sessions. Set-up times are between 7:30 a.m. and 8:30 a.m. Tuesday and Wednesday morning. Exhibits should be removed after 5:00 p.m. There is no exhibiting on Thursday, December 20, 2007

33. What are the benefits of exhibiting?

Being an exhibitor is an opportunity to discuss your products and services with over 200 people involved in data related work in the Indian health system. The conference has the advantage to exhibitors of being a two-day conference in one, compact site, with exhibitor booths by high volume traffic areas. The conference will also have sponsorship opportunities of refreshment breaks, for which your organization will receive printed recognition.
